Safety, Fire, Electrical & Environmental Requirements

All Catering Village traders at the Cork Summer Show must comply with the following requirements. These requirements are in place to protect traders, staff, contractors and visitors and must be followed throughout the event.

Failure to comply with these requirements may result in the trader being required to stop trading or leave the site.


1. MARQUEES & GAZEBOS

All marquees, gazebos and temporary structures must comply with the relevant Health & Safety and fire safety requirements.

  • All marquee and gazebo fabric and lining must be manufactured from fire-retardant material.
  • A manufacturer’s certificate confirming that the material is fire retardant must be available for inspection for each structure.
  • Any fire exit flaps or emergency openings must be secured in the open position whenever the structure is occupied.
  • Marquee ropes and stakes must be clearly marked and/or fenced off to prevent trip hazards.
  • A minimum of two suitable fire extinguishers must be provided inside each catering marquee or gazebo, where required by the risk assessment.
  • Fire certificates and structural/engineering certificates must be provided to the Organisers before the structure is opened to the public.

2. DEEP-FAT FRYERS

Any trader using a deep-fat fryer must comply with the following:

  • The fryer must have a solid, non-combustible protective shield around it.
  • No combustible materials may be stored or positioned within 1 metre of the fryer.
  • A suitable Class F/wet chemical fire extinguisher must be provided.
  • A suitable heavy-duty fire blanket must also be available.
  • Catering staff operating the fryer must be familiar with the safe use of the firefighting equipment.
  • Frying equipment must be positioned so that it cannot be accessed or knocked by members of the public.

3. BBQs, PIZZA OVENS & NAKED FLAMES

BBQs, pizza ovens and other equipment producing heat, flame or hot surfaces must be declared to the Organisers in advance.

  • BBQs and pizza ovens must be positioned at least 3 metres from any temporary marquee, gazebo, canopy or other combustible structure.
  • Appropriate fire-fighting equipment must be available.
  • All hot surfaces and naked flames must be adequately protected from public access.
  • Combustible materials must be kept well away from cooking equipment.

4. LPG & GAS

All gas installations must be installed and operated safely and in accordance with the applicable requirements, including IS 820 where relevant.

  • Traders must provide confirmation that their gas installation complies with the relevant standards.
  • Each gas installation must be inspected and certified by a Registered Gas Installer (RGI/RGII as applicable) before the event opens.
  • Gas cylinders must be stored and secured safely and must not create a risk to staff or visitors.
  • Gas cylinders must be positioned away from sources of heat and protected from damage.
  • Gas hoses, regulators and connections must be in good condition and suitable for the installation.
  • Traders must not alter or carry out unauthorised work on gas installations once on site.

Traders requiring gas certification should arrange their inspection in advance.


5. STAND & CATERING UNIT SPACING

To maintain appropriate fire separation within Catering Village:

  • 6 metres minimum separation between catering units where gas is in use.
  • 3 metres minimum separation between catering units where gas is not in use.

Traders must not move their catering unit, gazebo, equipment or other structures from the allocated position without prior approval from the Organisers.


6. FIRE-FIGHTING EQUIPMENT

All catering concessions must have appropriate and fully operational firefighting equipment.

The exact equipment required may vary depending on the cooking equipment and activities being carried out.

Minimum guidance:

Non-cooking unit:

  • 1 × 2kg CO₂ fire extinguisher
  • 1 × 6L foam extinguisher

Cooking unit:

  • 1 × 2kg CO₂ fire extinguisher
  • 1 × 6L foam extinguisher
  • Suitable fire blanket

Deep-fat frying:

  • 1 × 6L Wet Chemical/Class F extinguisher
  • 1 × 2kg CO₂ extinguisher
  • Suitable heavy-duty fire blanket

All firefighting equipment must be in date, fully operational and readily accessible.

Catering staff must know where the equipment is located and how to use it safely.


7. BURN FIRST-AID KIT

All hot food catering units must have a suitable burn first-aid kit, including appropriate cooling gel, readily available for staff.


8. ELECTRICAL SAFETY

All electrical equipment used within Catering Village must be safe, suitable for commercial/event use and properly maintained.

  • Traders must bring their own electrical cables and connection leads.
  • The power connection provided will be located within approximately 25 metres of the allocated pitch.
  • Any electrical equipment that is more than one year old must have a current PAT certificate, where applicable.
  • Traders using tents, gazebos or other temporary structures without a fixed electrical installation must provide evidence of appropriate electrical testing.
  • Domestic electrical fittings and unsuitable domestic extension leads are not permitted.
  • Cables must be appropriately rated for the equipment being used.
  • Cables must be positioned so they do not create a trip hazard.
  • All electrical equipment must be maintained in safe working condition.
  • The Organisers or appointed electrician reserve the right to refuse connection or disconnect any equipment considered unsafe.

The electrical supply available will be based on the requirements stated on your original application.


9. OFFICIAL ELECTRICAL CONTRACTOR

The official electrical contractor for the Cork Summer Show is:

For safety and insurance reasons, only the Organisers' appointed electrical contractor may carry out electrical work or make connections on site, unless written permission has been obtained from the Organisers in advance.

Any additional electrical requirements must be ordered in advance.

Power Requirements

Your standard stand supply has a maximum load of 1kW, unless additional power has been ordered and paid for in advance.

If you require additional power for:

  • Refrigeration
  • Freezers
  • Cooking equipment
  • Chilled vehicles
  • Other high-load equipment

you must notify the Organisers before arriving on site.


10. CHILLED & REFRIGERATED VEHICLES

If you require a 24-hour electrical supply for a refrigerated or chilled vehicle, this must be booked in advance.

Please note that the number of 24-hour connections is limited.

Traders must bring their own suitable connection cable.

For external power connections, traders should bring:

  • 30-metre extension lead
  • 16-amp blue round connector

All cables must be suitable for outdoor/event use and must not create a trip hazard.


11. ELECTRICAL HEALTH & SAFETY

Each catering unit is considered a workplace while being set up and operated.

Traders are responsible for ensuring that:

  • Electrical equipment is safe and suitable for its intended use.
  • Equipment is properly maintained and tested.
  • Electrical cables and connections are protected from damage, water and public access.
  • All electrical installations comply with applicable safety requirements.
  • Any electrical equipment supplied by the trader is suitable for use at an outdoor event.

The Organisers and appointed electrical contractor reserve the right to disconnect any electrical equipment considered dangerous or unsuitable.

Any costs or consequences arising from an unsafe or unauthorised electrical installation will be the responsibility of the trader.


12. FIRE SAFETY & COOKING EQUIPMENT

Fire is a serious risk within Catering Village.

Traders must ensure that:

  • Cooking equipment is safely installed and operated.
  • Combustible materials are kept away from heat sources.
  • Décor, fabrics and other materials used within catering units are suitable for use in an event environment and appropriately fire retardant where required.
  • Fire extinguishers and fire blankets are readily accessible.
  • Staff are trained in basic fire safety and the use of firefighting equipment.
  • Emergency exits and access routes remain clear at all times.

The Organisers, Fire Officer or Safety Officer may request additional fire safety measures where required.


13. ECO-FRIENDLY & COMPOSTABLE PACKAGING

The Cork Summer Show is committed to reducing waste and improving the environmental impact of the event.

All Catering Village traders must comply with the Show's Environmental Policy and packaging requirements.

Traders must:

  • Use compostable consumables for food and drink service, including cups, plates, food containers and cutlery.
  • Where applicable, packaging should be certified to EN 13432.
  • Be able to provide evidence or certification from your packaging supplier if requested.
  • Avoid single-use plastic wherever possible.
  • Avoid unnecessary packaging and double-bagging.
  • Use reusable trays and containers where practical.
  • Avoid single-use sachets of sauces, salt, pepper and similar products where refillable alternatives can be used.
  • Flatten cardboard packaging before placing it in the appropriate recycling area.

Polystyrene is strictly prohibited.

No polystyrene food containers, cups, plates or other polystyrene packaging may be used in Catering Village.

Traders who do not comply with the Show's packaging requirements may be required to stop using non-compliant packaging or cease trading.


14. WASTE & RECYCLING

Each trader is responsible for keeping their catering unit and the surrounding area clean, tidy and free from waste throughout the event.

Waste must be separated into the appropriate streams:

  • General Waste
  • Food Waste
  • Recycling

Food Waste

All food waste must be placed in the appropriate organic/food waste bins provided by the Organisers.

Cardboard

All cardboard must be flattened and placed in the designated recycling area.

Trader Responsibility

Traders must ensure that:

  • Waste does not accumulate around their catering unit.
  • Waste generated by customers around their unit is regularly cleared.
  • All waste is placed in the correct bins.
  • Their pitch is completely clean before leaving site.

Any waste, equipment or materials left behind by a trader may be removed at the trader's expense.

Fines or charges may apply where traders fail to comply with the Show's waste management requirements.


15. WASTE OIL

Waste cooking oil is the responsibility of the trader.

  • Waste oil must be stored securely in suitable containers.
  • Waste oil must be removed from site using an appropriate disposal method.
  • Under no circumstances may waste oil be poured onto the ground, into drains or into general waste bins.

16. STORAGE OF PACKAGING & STOCK

All excess packaging, boxes, crates and storage materials must be kept safely within the trader's allocated area or removed to an approved storage area.

Storage must not:

  • Block emergency exits.
  • Obstruct walkways.
  • Create a trip hazard.
  • Reduce access for emergency services.
  • Create an additional fire risk.

17. WATER SUPPLY

Traders requiring a direct mains water connection must request this in advance of the event.

Water connections must be arranged through the Organisers and must not be installed or altered by traders without prior approval.


18. SPECIAL RISKS & EQUIPMENT

Traders must inform the Organisers in advance if they intend to use or have any equipment or activity that may present an additional risk, including:

  • Gas or LPG
  • Deep-fat fryers
  • BBQs or pizza ovens
  • Naked flames
  • Hot surfaces
  • Generators
  • Working machinery
  • Stepped access or ramps
  • Large structures
  • Refrigerated vehicles
  • Compressed gases
  • Flammable liquids
  • Any other hazardous equipment or activity

Additional safety controls may be required following a risk assessment.


19. GENERATORS

Any generator brought onto the event site must be suitable for the intended use and maintained in safe working condition.

Traders must provide evidence that generators have received the required annual inspection/service and electrical safety testing, where applicable.

Generators must be positioned safely, away from public access and combustible materials.

Generator cables must be appropriately protected and must not create trip hazards.


20. MUSIC & NOISE

Music and audio equipment may be used provided that it does not cause a nuisance or interfere with other traders, staff or visitors.

The Organisers reserve the right to require the volume to be reduced or the equipment switched off where it is considered excessive or disruptive.

Traders are responsible for obtaining any licences required for the use of recorded or live music, including any applicable IMRO licence.

On-stand auctions, amplified sales pitches or the use of PA systems for promotional purposes are not permitted without prior written approval from the Organisers.


21. SECURITY & LOSS

Traders are responsible for the security of their own equipment, stock, cash and personal belongings.

The event security team is responsible for the security of the event site, not individual catering units.

Traders should:

  • Keep cash and valuables secure.
  • Avoid leaving equipment or stock unattended.
  • Secure refrigeration and storage units where possible.
  • Check all equipment and storage areas before leaving the site.
  • Report any suspicious activity immediately to Security or the Organisers.

The Organisers do not accept responsibility for loss, theft or damage to equipment, stock, vehicles or other property brought onto the site by traders.

Traders are strongly advised to have appropriate insurance cover.


22. CLEANING & HANDOVER OF PITCH

At the end of the event, each Catering Village trader must leave their allocated pitch clean, tidy and free from all waste, equipment, packaging and materials.

The Organisers do not provide a removal service for abandoned equipment, stock, packaging or stand materials.

Any costs incurred by the Organisers in removing items left behind may be charged to the trader.


23. COMPLIANCE

By participating in the Cork Summer Show, Catering Village traders agree to comply with:

  • These Catering Village requirements
  • The Cork Summer Show Trader Terms & Conditions
  • The Cork Summer Show Environmental Policy
  • All applicable Health & Safety requirements
  • Fire safety requirements
  • Food safety requirements
  • Electrical safety requirements
  • Relevant gas and LPG requirements
  • Instructions issued by the Organisers, Safety Officer, Fire Officer, Gardaí or other authorised personnel

The Organisers reserve the right to inspect catering units and equipment at any time.

Where a serious safety risk is identified, the Organisers may require the trader to immediately stop the relevant activity, disconnect equipment or cease trading until the issue has been resolved.
