Trade Exhibitor Terms & Conditions
1. Definitions
For the purpose of these Terms & Conditions:
- “Show” means the Cork Summer Show held at the Munster Agricultural Society Showgrounds, Curraheen, Co. Cork.
- “Application Form” means the official trade stand application submitted online or in another format approved by Munster Agricultural Society CLG.
- “Exhibitor” or “Trader” means any person, business or organisation approved to operate a trade stand at the Show.
- “Fee” means any charge payable by an Exhibitor in relation to their allocated stand space or participation at the Show.
- “Stand Space” means the area allocated to an Exhibitor for trading or exhibiting, excluding the Food & Drinks Zone where separate terms may apply.
- “Show Management” means Munster Agricultural Society CLG and its authorised representatives responsible for the organisation, management and operation of the Show.
2. Applications & Acceptance
- All trade applications must be submitted using the official Cork Summer Show application form or online booking system.
- Submission of an application does not guarantee acceptance or allocation of stand space.
- Show Management reserves the right to accept, decline, limit or withdraw an application at its discretion.
- Where an application is unsuccessful, any payment already made will be refunded. No other refunds will be provided.
- By submitting an application, the Exhibitor confirms that they have read and agree to these Terms & Conditions and accept responsibility for their participation at the Show.
- All Exhibitors, staff and contractors must comply with these Terms & Conditions and with all reasonable instructions issued by Show Management and authorised personnel.
3. Trading & Approved Goods
- Exhibitors may only sell, display or promote the goods and services declared on their application and approved by Show Management.
- The sale or promotion of unauthorised products is strictly prohibited.
- Prohibited items include, but are not limited to, weapons, pellet guns, knives, balloons, water pistols and counterfeit goods.
- All trading, sales and promotional activity must take place within the Exhibitor’s allocated stand space.
- Show Management reserves the right to require the removal of any product, display or promotional material considered unsuitable or unauthorised.
- Failure to comply may result in the Exhibitor being required to leave the Show without refund or compensation and, where necessary, goods may be removed or held in accordance with applicable requirements.
4. Fees & Payments
- Full payment of the applicable stand fee is required with the application unless otherwise agreed in writing.
- Current fees and charges are detailed on the Cork Summer Show website and within the relevant Exhibitor information.
- Once an application has been accepted, fees are non-refundable and non-transferable.
- Any bank or transaction charges associated with non-Euro payments are the responsibility of the Exhibitor.
- Additional stand space or space required for sponsorship or other purposes must be agreed in advance and paid for separately.
5. Site Access, Set-Up & Show Hours
Set-Up & Access
- Traders may access the Showgrounds for stand set-up from 10:00am on the Tuesday before the Show.
- All stand construction and set-up must be completed by 12:00 noon on Friday 18 June 2027.
- All stands must be fully set up and ready to trade by 8:30am on Saturday 19 June 2027.
- There will be no Saturday morning set-up before the Show opens.
- Access on Sunday 20 June 2027 from 7:00am is for essential preparation only.
- Exhibitors using contractors are responsible for ensuring that all contractors are aware of and comply with the Show's access, working and Health & Safety requirements.
Show Opening Hours
The Cork Summer Show will be open to the public:
Saturday 19 June 2027: 9:00am – 7:00pm
Sunday 20 June 2027: 9:00am – 7:00pm
- Trade stands must be fully operational and open throughout the published Show opening hours.
- No trader vehicles are permitted within the trade areas during Show opening hours.
- Trade areas will be pedestrian-only from 9:00am.
Breakdown & Removal
- Stand breakdown may begin after 7:00pm on Sunday 20 June 2027, once the Show has officially closed.
- For safety and security reasons, Exhibitors are encouraged to remove smaller items, stock, displays and equipment on Sunday evening.
- Heavy or large items may remain on site for collection on Monday.
- Exhibitors requiring forklifts, lifting equipment or specialist equipment for dismantling are responsible for arranging this themselves.
- All stands, exhibits, equipment, stock and waste must be completely removed from the Showgrounds by 6:00pm on Monday 21 June 2027.
- Early closure, unauthorised access or failure to comply with the published timetable may result in penalties or other action by Show Management.
Important
Working outside the published access and working hours is only permitted in exceptional circumstances and must be agreed in advance with Show Management.
The decision of Show Management is final in relation to site access, working hours and Health & Safety requirements.
6. Site Access, Vehicles & Trader Requirements
Vehicle Access & Parking
- Vehicle access to trade areas is permitted during designated set-up and breakdown periods only.
- No vehicle access is permitted within trade areas during Show opening hours.
- All vehicles must display the Exhibitor Parking Pass provided at sign-in and follow the instructions of parking attendants.
- Overnight parking is only permitted in designated areas with prior approval from Show Management.
- Sleeping or camping anywhere on the Showgrounds is strictly prohibited.
- Vehicles are brought onto the Showgrounds entirely at the owner's risk and must be appropriately insured.
Site Safety & Vehicle Movement
- A 10 km/h maximum speed limit and one-way traffic system apply throughout the Showgrounds.
- Vehicles must remain on designated roadways at all times.
- Driving across grass, open areas or taking shortcuts is prohibited.
- All Exhibitors, staff and contractors must comply with site traffic restrictions, vehicle curfews and directions from authorised personnel.
- Failure to comply may result in removal from the site without refund or compensation.
- High-visibility vests must be worn by all persons during set-up and breakdown.
- Exhibitors and contractors must provide their own high-visibility vests. A €10 charge will apply where one is supplied by the Organiser.
Site Management & Incidents
All Exhibitors, staff and contractors must cooperate fully with:
- Show Management
- Security personnel
- Health & Safety personnel
- Environmental Health Officers
- Fire Officers
- Emergency Services
- Any other authorised personnel.
- Show Management reserves the right to inspect vehicles or persons entering or leaving the Showgrounds where required for security or safety purposes.
- Refusal to comply with reasonable security requirements may result in removal from the Showgrounds.
- Any accident, injury or incident involving an Exhibitor, staff member, contractor or member of the public must be reported immediately to Show Management or the Trade Team.
Trading Requirements
- No person, business or organisation may trade at the Show without prior approval from Munster Agricultural Society CLG.
- Only approved products and services may be sold, displayed or promoted.
- No refunds will be provided due to adverse weather, programme changes, reduced visitor numbers or reduced trading.
- Show Management does not guarantee sales, visitor numbers or commercial results.
- Exhibitors are responsible for any damage they cause to the Showgrounds, equipment or third-party property and may be required to cover reasonable repair or replacement costs.
- Show Management may terminate an Exhibitor's trading agreement or require an Exhibitor to leave the Show where there is:
- Failure to trade as agreed;
- Sale or promotion of unauthorised products;
- Failure to provide required documentation;
- Non-payment of fees;
- Breach of these Terms & Conditions;
- A Health & Safety concern or risk; or
- Failure to follow reasonable instructions from authorised personnel.
- Where an Exhibitor is removed due to a breach of these Terms & Conditions, no refund or compensation will be payable.
Under-16s
- Persons under 16 years of age are not permitted on site during set-up or breakdown, as the Showgrounds operate as a working/construction site during these periods.
- Exhibitors are responsible for ensuring compliance with all applicable legislation relating to young workers.
Site & Stand Requirements
- Exhibitors must check their allocated stand space against the site plan before construction begins and report any discrepancy immediately.
- Costs arising from corrections required after construction has commenced may be charged to the Exhibitor.
- Space-only Exhibitors may use their own contractor, subject to prior approval from Show Management.
- Contractor details and stand plans must be submitted in advance where required.
- Stands must not exceed 2.5 metres in height without prior written approval.
- All stands and structures must comply with applicable fire, Health & Safety and other relevant requirements.
- Essential services, access routes, emergency exits and fire points must remain clear at all times.
- Walls and structures visible from adjoining stands or public areas must be suitably finished.
- Where space-only stands adjoin one another, Exhibitors must liaise with neighbouring Exhibitors regarding shared boundaries and exposed surfaces.
- Approval of a stand does not confirm compatibility with neighbouring stands. Each Exhibitor remains responsible for ensuring that their stand complies with all requirements and does not adversely affect neighbouring Exhibitors, visitors or Show operations.
7. Changes, Postponement & Force Majeure
- Munster Agricultural Society CLG reserves the right to amend these Terms & Conditions where reasonably necessary. Exhibitors will be notified of significant changes where appropriate.
- Show Management will not be responsible for any failure, delay or disruption caused by circumstances beyond its reasonable control, including but not limited to:
- Fire
- Flood
- Severe weather
- Industrial action
- War or civil unrest
- Government restrictions
- Public emergencies
- Safety concerns
- Other unforeseen circumstances.
- Where circumstances require, Show Management may amend, restrict, postpone or cancel all or part of the Show or alter arrangements relating to the Show.
- Such circumstances do not automatically give rise to a right to a refund or compensation, nor do they affect payment obligations already due.
8. Outdoor Displays, Structures & Marquees
All outdoor structures, displays, marquees, gazebos and temporary structures must comply with all applicable Health & Safety, fire safety and other relevant requirements.
- All marquees and gazebos must be manufactured from certified fire-retardant materials.
- Any Exhibitor intending to erect a structure on the Showgrounds must notify Show Management in advance and, where required, submit the relevant engineering calculations and structural information for approval.
- No structure may be erected without prior approval from Show Management.
- Show Management reserves the right to require any structure to be altered, dismantled or removed if it is considered unsafe or may pose a risk to Exhibitors, contractors, staff or members of the public.
- A structure may only be re-erected where Show Management is satisfied that it meets the required construction and safety standards.

Damage to Site
Exhibitors are responsible for any damage caused to walls, columns, surfaces, fixtures, fittings or other parts of the Showgrounds by themselves, their staff, contractors or equipment.
Any such damage must be repaired or made good at the Exhibitor's expense.
Rigging & Signage
Exhibitors must not attach, rig, hang or fix signage, banners or other materials to marquee walls or structures without prior approval from Show Management.
Any approved signage must be safely installed and must not damage the marquee, structure or surrounding property.
9. Stand Space & Site Use
- Stand allocation is at the discretion of Show Management.
- Exhibitors must check in on arrival and confirm their allocated stand location.
- Vehicles are not permitted within exhibition areas during Show opening hours.
- All stock, equipment, displays and other materials must remain within the Exhibitor's allocated stand space.
- Exhibitors must not extend into walkways, neighbouring stands, emergency routes or other areas without prior approval.
- Sub-letting, sharing or transferring stand space is not permitted without prior written approval from Show Management.
- Exhibitors are responsible for keeping their stand and surrounding area clean, tidy and free from hazards.
- All Exhibitors must leave their allocated area clean, undamaged and free of waste at the end of the Show.
10. Changes, Postponement & Cancellation
Munster Agricultural Society CLG reserves the right to amend, postpone, restrict or cancel the Show, or any part of the Show, where circumstances make this necessary.
This may include circumstances relating to:
- Severe weather;
- Health and safety;
- Fire or other emergencies;
- Government restrictions;
- Force majeure;
- Public safety;
- Site or operational requirements; or
- Other circumstances beyond the reasonable control of the Organiser.
Where the Show is amended, postponed or cancelled, the Organiser will communicate any relevant changes to Exhibitors as soon as reasonably practicable.
The Organiser accepts no responsibility for loss of profit, loss of business, travel costs, accommodation costs or other expenses incurred by an Exhibitor as a result of such changes or cancellation, subject to applicable law.
Exhibitors are strongly advised to maintain appropriate insurance cover.
10. Exhibitor Passes & Entry Tickets
Exhibitor passes are allocated according to the number of stands booked:

| 3 stands | 12 passes |
| 4 stands | 16 passes |
| 5 or more stands | Maximum of 22 passes |
- Exhibitors must carry their valid Exhibitor Pass while on site.
- Anyone attending the Show without a valid Exhibitor Pass or admission ticket may be required to pay the standard admission charge.
- Additional Exhibitor Passes or entry tickets must be purchased in advance where available.
- Exhibitor passes are intended for genuine stand staff and must not be sold or transferred without prior approval.
Additional Exhibitor Entry Tickets
Additional entry tickets for stand staff may be purchased at the special Exhibitor rate of €10 per ticket, subject to availability and the terms of the booking system.
Additional tickets must be purchased in advance of the Show weekend and can be requested through the Exhibitor booking form.
11. Insurance
All Exhibitors are responsible for arranging and maintaining appropriate insurance cover for their participation at the Cork Summer Show.
Evidence of insurance must be provided before the Exhibitor is permitted to trade at the Show.
Insurance documentation should clearly state:
- Name of the insured;
- Insurance company;
- Policy number;
- Business description;
- Dates of cover;
- Applicable limits of liability;
- Employers' Liability cover, where applicable;
- Public and Products Liability cover; and
- Any other information reasonably requested by Show Management.
The required level of insurance cover may vary depending on the size and nature of the stand and the activities being undertaken.
Where required, Exhibitors must also provide a specific indemnity letter in favour of Munster Agricultural Society CLG.
Contractors
Exhibitors are responsible for ensuring that any contractors, suppliers or subcontractors they engage have appropriate insurance cover.
Evidence of contractor insurance must be available for inspection on site if requested.
Vehicle Insurance
All vehicles brought onto the Showgrounds must have valid and appropriate motor insurance, including valid driver insurance.
12. Loss, Damage & Security
Exhibitors are responsible for the security and protection of their own stock, equipment, displays, vehicles and other property while on the Showgrounds.
Munster Agricultural Society CLG, the Showgrounds, sponsors and associated parties accept no responsibility for loss, theft or damage to property belonging to Exhibitors, their staff, contractors or agents, except where liability cannot legally be excluded.
Exhibitors are strongly advised to arrange appropriate insurance covering their property against loss, theft and damage.
Exhibitors should take reasonable precautions to protect valuable stock, equipment and personal belongings at all times.
13. Deliveries & Product Access
All deliveries of stock, products and equipment must take place within the designated delivery and access times provided by Show Management.
On Show days:
- Deliveries must be completed before 8:30am, or during the designated evening delivery period of 6:00pm to 8:00pm, where permitted.
- All delivery vehicles must be removed from the relevant trade area before the Show opens.
- No deliveries or delivery vehicles are permitted within the trade areas during public opening hours.
- Exhibitor parking passes must be displayed where required.
- Delivery vehicles must use designated access and parking areas.
- Vehicles must not be driven or parked on grass areas surrounding stands.
- Vehicles must be parked safely and must not obstruct pedestrians, emergency routes, other vehicles or Show operations.
- Where required, products and equipment must be transferred from the designated parking area to the stand using an appropriate trolley or other safe method.
Show Management may restrict or refuse access where delivery activity creates a Health & Safety, traffic or operational concern.
14. Health & Safety – Exhibitor Responsibilities
Each Exhibitor is responsible for ensuring that their stand, activities, staff and contractors comply with all applicable Health & Safety legislation and Show requirements.
Where an Exhibitor employs or engages contractors to construct, operate or dismantle their stand, the Exhibitor remains responsible for ensuring that suitable arrangements are in place for safe working practices.
Exhibitors have a duty of care towards:
- Their employees;
- Contractors and subcontractors;
- Other Exhibitors;
- Show staff;
- Visitors and members of the public; and
- Anyone who may be affected by their activities.
Exhibitors are responsible for the safe installation, use and maintenance of their stand, equipment and surrounding working area.
Contractors & Risk Assessments
Before arriving on site, Exhibitors must clearly establish areas of responsibility between themselves and any contractors or subcontractors.
Exhibitors must ensure that contractors:
- Are suitably competent and appropriately qualified for the work being undertaken;
- Have completed appropriate risk assessments;
- Have suitable method statements where required;
- Follow safe systems of work;
- Maintain safe access and exit routes; and
- Comply with all Show Health & Safety requirements.
Where requested, risk assessments, method statements, structural information and other Health & Safety documentation must be provided to Show Management before work begins.
The Exhibitor remains responsible for ensuring that all submitted documentation is accurate, current and appropriate for the work being carried out.
15. Sales, Advertising & Promotional Activity
- All sales, advertising, demonstrations and promotional activity must take place within the Exhibitor's allocated stand space.
- Distribution of leaflets, flyers, samples or other promotional material outside the allocated stand is not permitted unless specifically approved by Show Management.
- Promotional staff must not obstruct walkways or approach visitors outside the Exhibitor's allocated area.
- No Exhibitor may use the Showgrounds to promote another business, product or service that has not been declared and approved as part of their application.
- All business activity undertaken by an Exhibitor remains the responsibility of that Exhibitor.
16. VAT & Revenue Requirements
All Exhibitors are responsible for complying with their own tax, VAT, invoicing and record-keeping obligations.
Exhibitors must maintain appropriate records of transactions and sales in accordance with applicable Irish Revenue requirements.
Where electronic tills or other electronic record-keeping systems are used, Exhibitors must retain the required records and reports.
Revenue Commissioners may carry out inspections, including on-site inspections. Exhibitors are responsible for ensuring that all required records are accurate, complete and available where required.
For further information or clarification on tax and VAT requirements, Exhibitors should contact the Revenue Commissioners or seek independent professional tax advice.
17. Food Health & Safety
All food and beverage Exhibitors must comply with all applicable food safety, hygiene, Health & Safety and environmental health legislation.
Food Traders are responsible for ensuring that their staff are appropriately trained and that their food operation complies with all requirements applicable to their business.
Environmental Health Officers may inspect food operations during the Show.
Food Safety Management
Food Traders must, where applicable:
- Have an appropriate HACCP-based food safety management system in place;
- Ensure all food handlers have appropriate food hygiene training;
- Maintain required food safety records and monitoring records;
- Maintain the appropriate cold chain, including chilled food at the required temperature and frozen food at the required temperature;
- Use suitable food-grade equipment and materials;
- Keep food preparation and serving areas clean and hygienic;
- Use separate utensils for raw and cooked foods where required;
- Provide suitable cleaning and sanitising equipment;
- Use a safe and potable water supply;
- Provide suitable hand-washing facilities;
- Maintain high standards of personal hygiene;
- Ensure anyone suffering from an illness or infection that could affect food safety does not handle food;
- Wear suitable clean protective clothing when handling food;
- Keep food protected from contamination;
- Store hot food at the required safe temperature;
- Store food packaging and materials hygienically; and
- Dispose of waste safely and appropriately.
Food Sampling
Food sampling may be permitted within the Exhibitor's stand, subject to applicable food safety requirements and Show Management approval.
Indicative maximum sample sizes are:
- Food: Bite-size/canapé size
- Wine: 30ml
- Beer: 50ml
- Spirits: 5ml
- Non-alcoholic drinks: 100ml
- Tea, coffee and hot drinks: 150ml
All sampling must be carried out responsibly and in accordance with applicable licensing, food safety and Health & Safety requirements.
Any promotional activity associated with sampling must remain within the Exhibitor's allocated stand area.
All disposable cups, plates, utensils and other sampling materials must be disposed of responsibly using the appropriate waste facilities provided.
Allergen Information
Food Exhibitors must provide clear and accurate information about allergens contained in the food they sell or provide.
This includes, where applicable:
- Cereals containing gluten;
- Crustaceans;
- Eggs;
- Fish;
- Peanuts;
- Soybeans;
- Milk/lactose;
- Nuts;
- Celery;
- Mustard;
- Sesame seeds;
- Sulphur dioxide/sulphites;
- Lupin; and
- Molluscs.
Allergen information must be available to customers in accordance with applicable legislation.
18. Food Trader Requirements & HSE
Food businesses must be appropriately registered with the relevant authority before trading at the Show.
Where applicable, a copy of the relevant food business registration documentation must be provided as part of the application process and made available for inspection on site.
Food Traders should have the following available at their stand, where relevant:
- Clean protective clothing and suitable headwear;
- Hand-washing facilities with warm water, suitable soap and disposable paper towels;
- A calibrated probe thermometer and appropriate probe wipes;
- Covered waste bins;
- Suitable chopping boards;
- Appropriate cleaning and sanitising products;
- Suitable food covers and protection against contamination;
- Pallets or racks to keep food off the ground; and
- Appropriate allergen information.
Environmental Health Officers may inspect food stands throughout the Show. Any Exhibitor failing to meet applicable food safety requirements may be required to stop trading until the relevant issue has been resolved.
19. Gas & LPG – Food Zone
Any Exhibitor using gas or LPG for cooking or other purposes must comply with all applicable fire safety, gas safety and Health & Safety requirements.
- All gas equipment must be certified by a suitably qualified and competent gas professional.
- Gas equipment certification must be available for inspection by the relevant Fire Officer, Safety Officer or Show Management.
- Gas cylinders must be stored securely in an approved, locked metal gas cage.
- Gas installations must be installed and certified in accordance with the applicable requirements and standards.
- LPG supplies must be securely protected from public access.
- Exhibitors and staff using LPG must understand its safe use, characteristics and emergency procedures.
- LPG storage must not exceed the quantity permitted under the applicable requirements.
- Gas cylinder storage areas must allow safe and immediate access for emergency isolation where required.
- All gas installations must be appropriately certified before they are brought into operation.
Show Management reserves the right to require gas equipment or installations to be inspected or certified before use.
Where an Exhibitor requires an additional gas inspection or certification service, any associated cost is the responsibility of the Exhibitor.
Important: No gas installation will be permitted to operate if Show Management, the relevant Fire Officer or Safety Officer considers it unsafe or non-compliant.
20. Smoking
Smoking, including the use of electronic cigarettes, is not permitted within enclosed public or working areas or inside trading vehicles.
Where required, Exhibitors must display appropriate No Smoking signage within enclosed public or working areas.
21. Compliance
By submitting an application, the Exhibitor confirms that they have read, understood and agree to comply with these Terms & Conditions and all reasonable instructions issued by Munster Agricultural Society CLG and its authorised representatives.
Failure to comply may result in:
- Suspension of trading;
- Removal of products or equipment;
- Requirement to rectify an issue immediately;
- Removal from the Showgrounds;
- Termination of the Exhibitor's trading agreement; and/or
- Loss of fees paid, where applicable.
Nothing in these Terms & Conditions limits any legal obligations that apply to an Exhibitor or their business.
22. ADVERTISING, PROMOTION & FREE PUBLICITY

Please note that the Munster Agricultural Society does not provide individual PR campaigns for exhibitors, but we strongly encourage you to promote your own participation.
